Ordering & Booking

How to order

To order anything from the hospitality menu, simply use our hospitality order form and follow the instructions on the form.

If you are not in possession of a copy of our hospitality order form, then it can be requested from the hospitality manager on the following e-mail:

hospitality-osp@artizian.co.uk

Please note that you will be asked for the following:

  • Your name
  • Contact number
  • Email address
  • Today's date
  • Department name
  • Department code
  • Date of event
  • Time order required
  • Location of event
  • Any specific dietary requirements 

Additional costs

Although the prices of all catering services have been quoted, there are some occasions whereby there are additional charges incurred:

Evening labour charges

All events taking place after 6:00pm, will incur a labour charge for staffing and running the event. Please contact: hospitality-osp@artizian.co.uk to obtain a quote.

Evening event supplement

All events running beyond 10:00pm will incur an extra labour charge to cover the staff staying to cover the additionl time - unless already part of the booking and therefore included in the quote.

Hot food limitations

Hot items can be offered in the Magdalen centre or by agreement where there is a kitchen in close proximity of an another building on the Park.

Equipment hire

Obviously if there is additional equipment required above what is normally provided, there will be additional charges. These only occur with special or bespoke events.

Deadlines

Beverages, Breakfasts & Working Lunches:

By 2:00pm on the day before the event unless sushi is required as part of the order. This will need to increase the order deadline to two days before the event as it comes from a specialist supplier who requires a minimum of 24 hours notice.

All Buffets:

By 2:00pm two days before the lunch (i.e. 2:00pm on a Wednesday for a Friday lunch)

Formal Lunches & Dinners:

By 2:00pm two days before the lunch / dinner

Small Canapé & Drinks Functions:

By 2:00pm three days before the function

Large Canapé & Drinks Functions (40+ attendees):

A minimum of one week before the function

Events:

Amendments

All amendments to bookings must be notified to hospitality-osp@artizian.co.uk. If you wish to amend your booking after the deadlines shown above, you will be advised of what is possible.

Cancellations

Cancellations must be notified to hospitality-osp@artizian.co.uk. Food catering costs will still be charged for a cancelled event if the event is cancelled after the deadlines shown above, or if food has already been ordered for a special event and cannot be re-used elsewhere.

Late requests

Although Hospitality will endeavour to help with catering requirements at short notice (i.e. after the deadlines shown above), this is dependant upon supplies and resources, and therefore late requests cannot be guaranteed. All late requests should be notified to hospitality-osp@artizian.co.uk

Feedback & contact details

Feedback is essential in understanding our clients and customers and is an important tool for changing and enhancing service offers and standards in line with general expectations.

In the Hospitality department, constructive feedback is always taken forward and used in the ongoing process of updating and re-evaluating all of our catering products and services.

The Hospitality department are both proactive and reactive with regards to feedback. If you feel that you would like to comment, then please contact the department by email:

From time to time the department will contact users of the service for feedback. If you are contacted, please ‘help us to help you’. It is only by obtaining feedback that we can look positively to change our operation.
